Job Purpose
Provide excellent family service and administrative support by assisting with home education funding allotments. This position ensures families receive accurate reimbursements for eligible educational expenses in accordance with Alberta Education Guidelines for Reimbursement and The Gilbertine Institute’s internal policies. The Family Funding Assistant plays an important role in maintaining financial integrity while supporting families with care, clarity, and professionalism.
Duties & Responsibilities
- Verify and process receipts submitted by families for home education reimbursement.
- Ensure all reimbursements comply with Alberta Education Guidelines and internal policies.
- Prepare refund payments accurately and in a timely manner.
- Communicate with families by phone and email to request missing information or clarify submissions.
- Respond to funding-related inquiries with patience and professionalism.
- Maintain organized family financial files, both digital and physical.
- Support the Family Funding team in collecting and organizing audit data.
- Assist in maintaining accurate and up-to-date documentation for reporting and audit readiness.
- Identify opportunities to improve administrative processes for greater accuracy and efficiency.
- Uphold confidentiality and integrity in handling family financial information.
Qualifications & Personal Qualities
- High school diploma or equivalent.
- Strong math, organizational, and critical thinking skills.
- Excellent attention to detail and accuracy in data entry and documentation.
- Reliable, punctual, and dedicated to completing tasks efficiently and thoroughly.
- Friendly, patient, and committed to providing exceptional service to families.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Excel, Word, and related programs.
- Ability to work both independently and collaboratively as part of a supportive team.
- Familiarity with home education; a home-schooled graduate or home educating parent is considered an asset.
Working Conditions
Continuous full-time, part-time or variable-time. Some evenings and Saturdays will be required during high-volume seasons.
